Usage Data may include information such as Your Device's Internet Protocol address (e.g. IP address), browser type, browser version, the pages of our Service that You visit, the time and date of Your visit, the time spent on those pages, unique device identifiers and other diagnostic data.
When You access the Service by or through a mobile device, We may collect certain information automatically, including, but not limited to, the type of mobile device You use, Your mobile device's unique ID, the IP address of Your mobile device, Your mobile operating system, the type of mobile Internet browser You use, unique device identifiers and other diagnostic data.

Tracking Technologies and Cookies
We use Cookies and similar tracking technologies to track the activity on Our Service and store certain information. Tracking technologies used are beacons, tags, and scripts to collect and track information and to improve and analyze Our Service.
We use Google Analytics and other related tools to help Us understand how Our Service is used. These tools collect information such as how often users visit the Service, what pages they visit, and what other sites they used prior to coming to Our Service. We use this information only to improve Our Service. Google Analytics collects the IP address assigned to You on the date You visit the Service, rather than Your name or other identifying information.
You can opt-out of having Your activity on the Service made available to Google Analytics by installing the Google Analytics opt-out browser add-on. The add-on prevents Google Analytics JavaScript from sharing information with Google Analytics about visits activity.
For more information on the privacy practices of Google, please visit the Google Privacy & Terms web page: https://policies.google.com/privacy
Session recording. We use PostHog, a product analytics service, to record how people use our website and the PadPulse app, such as the pages visited, clicks and scrolling, so we can find and fix the places where the Service is confusing. Text you type into forms is never recorded. On pages of the app that show member information, messages, door or access codes, or financial information, all text and images are hidden in your browser before anything is sent, so those details are not captured. We use these recordings only to improve the Service.
Use of Your Personal Data
The Company may use Personal Data for the following purposes:
- To provide and maintain our Service, including to monitor the usage of our Service.
- To manage Your Account: to manage Your registration as a user of the Service. The Personal Data You provide can give You access to different functionalities of the Service that are available to You as a registered user.
- For the performance of a contract: the development, compliance and undertaking of the purchase contract for the products, items or services You have purchased or of any other contract with Us through the Service.
- To contact You: To contact You by email, telephone calls, SMS, or other equivalent forms of electronic communication, such as a mobile application's push notifications regarding updates or informative communications related to the functionalities, products or contracted services, including the security updates, when necessary or reasonable for their implementation.
- To provide You with news, special offers, and general information about other goods, services and events which We offer that are similar to those that you have already purchased or inquired about unless You have opted not to receive such information.
- To manage Your requests: To attend and manage Your requests to Us.
- For business transfers: We may use Your Personal Data to evaluate or conduct a merger, divestiture, restructuring, reorganization, dissolution, or other sale or transfer of some or all of Our assets, whether as a going concern or as part of bankruptcy, liquidation, or similar proceeding, in which Personal Data held by Us about our Service users is among the assets transferred.
- For other purposes: We may use Your information for other purposes, such as data analysis, identifying usage trends, determining the effectiveness of our promotional campaigns and to evaluate and improve our Service, products, services, marketing and your experience.

Affiliates include Our parent company and any other subsidiaries, joint venture partners or other companies that We control or that are under common control with Us.

- With Your consent: We may disclose Your Personal Data for any other purpose with Your consent.
PadPulse does not sell or share Your Personal Information with third parties for their own marketing or advertising purposes.
Vendor Directory and Public Vendor Marketplace
Hosts using the Service may add third-party vendors (e.g., cleaners, maintenance contractors, landscapers) to a private vendor directory associated with their account. To support this feature, We store vendor information that the host provides, which may include the vendor's business or individual name, contact information (such as email address and phone number), service category, service area, notes, and related job or scheduling history.
Vendor directory information is, by default, only visible to the host that added it and to authorized members of that host's account. We use this information to operate the directory, facilitate communication and scheduling between hosts and vendors, and improve the Service.
As described in Our Terms of Service, any vendor a host adds to their directory may, at the vendor's sole discretion, separately sign up for a PadPulse vendor account and choose to appear on the public PadPulse vendor marketplace. If a vendor independently opts in to the public marketplace, the information that vendor chooses to publish (which may include business name, service category, service area, contact details, photos, and reviews) will be publicly viewable on the marketplace. Hosts do not control whether a vendor in their directory appears on the public marketplace, and a vendor's marketplace listing is governed by the information that vendor provides to PadPulse directly, not by the private directory entry maintained by the host.
Vendors who create a PadPulse vendor account and list themselves on the public marketplace may request access to, correction of, or deletion of their marketplace listing by contacting Us. Hosts may remove a vendor from their private directory at any time; doing so removes the entry from the host's account but does not remove any independent listing the vendor has chosen to publish on the public marketplace.
Email Communications
We may send You emails related to Your account, the Service, and promotional content. You may opt-in to receive marketing emails from Us when You register for an account or otherwise engage with our Service. You can opt-out of receiving marketing emails at any time by clicking the "unsubscribe" link at the bottom of any marketing email, or by contacting Us directly. Please note that You may still receive transactional or administrative emails related to Your account even if You opt-out of marketing communications.
Payments
We may provide paid products and/or services within the Service. In that case, we may use third-party services for payment processing (e.g. payment processors). We will not store or collect Your payment card details. That information is provided directly to Our third-party payment processors whose use of Your personal information is governed by their Privacy Policy. These payment processors adhere to the standards set by PCI-DSS as managed by the PCI Security Standards Council, which is a joint effort of brands like Visa, Mastercard, American Express and Discover.
We use third-party service providers to help operate the Service, including for payment processing, bank-account connections (Stripe Financial Connections, described below), messaging, storage, and analytics. These providers are contractually required to protect your data consistent with this Policy.
Bank Account Data (Stripe Financial Connections)
Hosts can choose to connect their bank and credit-card accounts to PadPulse through Stripe Financial Connections, a service provided by Stripe, Inc. ("Stripe"). Connecting an account is optional. When You connect an account, You sign in to Your bank through Stripe, and Your bank login credentials go directly to Stripe and Your bank. PadPulse never sees or stores Your bank username, password, or other login credentials.
Data We receive
For each account You choose to connect, We receive the following from Stripe:
- The account name and the name of the financial institution
- The last 4 digits of the account number
- The account type (for example, checking, savings, or credit card)
- Account balances
- Account transactions
We do not request account ownership details (such as the account holder's name, address, or contact details), and We do not request permission to use a connected account as a payment method. Our access is read-only: PadPulse does not initiate payments, transfers, or ACH debits from any connected account.
How We use bank account data
We use bank account data only to provide Your accounting and expense tracking features, including Your live profit-and-loss reports. We never sell bank account data, and We never use it for advertising.
Stripe's role
Stripe processes the data it collects through Financial Connections under its own privacy policy. To learn how Stripe handles this data, visit the Stripe Privacy Center at https://stripe.com/legal/privacy-center. You can view and manage the account connections Stripe holds for You at https://support.stripe.com/user/accounts.
Disconnecting an account
You can disconnect a connected bank or credit-card account at any time in PadPulse. Disconnecting an account stops all further data refreshes from that account.
Retention and deletion of bank account data
We delete raw bank-feed data (account details, balances, and transactions You have not imported) within 30 days after You disconnect the account or close Your PadPulse Account. Transactions You have already imported into Your profit-and-loss records remain part of Your financial records until You delete them or delete Your Account, as described in "Delete Your Personal Data" below.
AI Features and Automated Processing
PadPulse offers AI-powered features (such as AI-assisted listing descriptions, automated recommendations, and market analysis) that process data You submit to generate outputs on Your behalf.
Data processed by AI Features
When You use an AI Feature, the content You submit — including property details, photos, and operational data — is processed by an AI model to generate the requested output. This processing is performed on Your behalf and subject to the confidentiality obligations described in this Policy.
Member communications and attachments
Where a host uses AI Features that assist with member messaging (such as AI-suggested replies), the member messages being responded to — including text and any attached images (for example, a photo of a maintenance issue) — may be processed by Our AI service providers to help the host understand and respond to the request. AI-generated understandings of attached images (such as a short description of what a photo shows) may be stored alongside the message so the same image does not need to be re-processed. AI-suggested replies are drafts only: a human always reviews and sends (or discards) them, and no message is ever sent to a member automatically by an AI Feature.
AI model improvement
We do not use Your submitted content to train or improve general-purpose AI models operated by Our AI service providers, except where You have separately consented or where applicable provider terms permit training on usage data.
Property Manager accounts
If You access the Service under an enterprise or business account arrangement, AI Feature usage and data handling may be governed by additional data processing terms agreed upon separately.
Automated decision-making
Certain features of the Service may present automated recommendations or insights (for example, pricing suggestions or property scoring). These outputs are informational and advisory only. No automated processing by the Service produces legal effects or similarly significant decisions about any individual without human review.
Your rights
You may contact Us at info@padpulse.io to ask questions about AI processing of Your data, to request that We restrict AI processing of specific content, or to exercise other applicable data rights described in this Policy.
Retention of Your Personal Data
The Company will retain Your Personal Data only for as long as is necessary for the purposes set out in this Privacy Policy. We will retain and use Your Personal Data to the extent necessary to comply with our legal obligations (for example, if We are required to retain Your data to comply with applicable laws), resolve disputes, and enforce our legal agreements and policies.
Where possible, We apply shorter retention periods and/or reduce identifiability by deleting, aggregating, or anonymizing data. We apply different retention periods to different categories of Personal Data based on the purpose of processing and legal obligations:
- Account Information – User Accounts: retained for the duration of your account relationship plus up to 24 months after account closure to handle any post-termination issues or resolve disputes.
- Customer Support Data – Support tickets and correspondence: up to 24 months from the date of ticket closure; Chat transcripts: up to 24 months for quality assurance and staff training purposes.
- Usage Data – Application usage statistics: up to 24 months; Server logs (IP addresses, access times): up to 24 months for security monitoring and troubleshooting purposes.
- Bank Account Data – Raw bank-feed data received through Stripe Financial Connections (account details, balances, and transactions You have not imported): deleted within 30 days after You disconnect the account or close Your Account. Transactions You have imported into Your profit-and-loss records are kept as part of Your financial records until You delete them or delete Your Account.
We may retain Personal Data beyond the periods stated above for:
- Legal obligation: We are required by law to retain specific data (e.g., financial records for tax authorities).
- Legal claims: Data is necessary to establish, exercise, or defend legal claims.
- Your explicit request: You ask Us to retain specific information.
- Technical limitations: Data exists in backup systems that are scheduled for routine deletion.
When retention periods expire, We securely delete or anonymize Personal Data. Residual copies may remain in encrypted backups for a limited period and are not restored except where necessary for security, disaster recovery, or legal compliance.
Transfer of Your Personal Data
Your information, including Personal Data, is processed at the Company's operating offices and in any other places where the parties involved in the processing are located. This information may be transferred to — and maintained on — computers located outside of Your state, province, country or other governmental jurisdiction where the data protection laws may differ.
Where required by applicable law, We will ensure that international transfers of Your Personal Data are subject to appropriate safeguards. No transfer of Your Personal Data will take place to an organization or a country unless there are adequate controls in place including the security of Your data and other personal information.
Delete Your Personal Data
You have the right to delete or request that We assist in deleting the Personal Data that We have collected about You.
You may update, amend, or delete Your information at any time by signing in to Your Account and visiting the account settings section. You may also contact Us to request access to, correct, or delete any Personal Data that You have provided to Us.
This includes bank account data received through Stripe Financial Connections. You can disconnect a connected bank or credit-card account at any time in PadPulse, which stops further data refreshes and starts the 30-day deletion of its raw bank-feed data. Imported transactions can be deleted from Your profit-and-loss records, and all of them are deleted when You delete Your Account. To remove the connection Stripe holds for You, visit https://support.stripe.com/user/accounts.
Please note that We may need to retain certain information when we have a legal obligation or lawful basis to do so.
Disclosure of Your Personal Data
Business Transactions
If the Company is involved in a merger, acquisition or asset sale, Your Personal Data may be transferred. We will provide notice before Your Personal Data is transferred and becomes subject to a different Privacy Policy.
Law Enforcement
Under certain circumstances, the Company may be required to disclose Your Personal Data if required to do so by law or in response to valid requests by public authorities (e.g. a court or a government agency).
Other Legal Requirements
The Company may disclose Your Personal Data in the good faith belief that such action is necessary to:
- Comply with a legal obligation
- Protect and defend the rights or property of the Company
- Prevent or investigate possible wrongdoing in connection with the Service
- Protect the personal safety of Users of the Service or the public
- Protect against legal liability
Security of Your Personal Data
The security of Your Personal Data is important to Us, but remember that no method of transmission over the Internet, or method of electronic storage is 100% secure. While We strive to use commercially reasonable means to protect Your Personal Data, We cannot guarantee its absolute security.
